Under the General Data Protection Regulation (GDPR), all businesses are responsible to protect any personal data they may store or use from breach of privacy. As part of this process, all documents, disks, USB flash drives, hard drives and other storage devices containing such information must be destroyed when they are no longer required. This is particularly important in the legal sector, which is heavily represented in and around Leeds.

Secure GDPR-compliant document shredding

While this service is chiefly designed for paper-based information, small quantities of disks (CDs/DVDs) and flash drives may be added and still count as paper waste.

 

Confidential shredding for remote workers

The trend towards working from home (WFH) brought about by the coronavirus pandemic has created a need for document security away from the office that still meets the demands of GDPR.

Our innovative, patent-pending RemoteShred system helps our customers with personnel working from home ensure they remain GDPR compliant at all times.

Users of this service are given a single-use cardboard console to dispose of confidential waste. When the console is full, the user secures it with a tamper-evident tape seal and scans a QR code on the console to request a collection.

The console is collected by one of our BS7858 security vetted, DBS checked customer service representatives (CSRs) and returned to our depot where the entire sealed console and its contents are shredded. A certificate of destruction is sent to the customer’s office. So they can maintain records that can be checked during a GDPR audit.

 

On-site shredding

For customers who want the added assurance of seeing the shredding process being carried out, we offer a mobile, on-site shredding service.

All confidential waste is carried from a secure area within the customer’s building to our mobile shredding unit, either by our CSRs or by the customer’s own personnel (if requested) and destroyed immediately on site.

The customer can witness the entire process and will be handed a certificate of destruction as soon as it is complete.

 

Secure off-site shredding service

Our off-site shredding service fully protects the security of your data while on your premises, in transit and during the destruction process.

Once confidential documents have been placed in one of our Securall® lockable consoles, they can only be accessed by our keyholding CSRs.

When the console is full, you simply scan a QR code on the console with a smartphone app, which alerts our office that the console is ready for emptying.

One of our CSR team will empty the console and return it to our shredding depot. To ensure in-transit security, all our vans are unmarked (to prevent alerting the public about their confidential cargo) and are fitted with CCTV and real-time satellite tracking.

All staff employed at our depot are BS7858 security vetted and the premises are protected 24/7 with CCTV security cameras.

A certificate of destruction is then issued so you can maintain accurate records for GDPR compliance auditing.

Textile destruction and recycling

Leeds also has long connections with textile and garment manufacturing, which is why we offer secure destruction of printed fabric and branded clothing.

This may seem like a waste of cloth or clothing that could be put to good use elsewhere, so why do companies go to such lengths?

  • Some printed textiles are immediately associated with specific brands or fashion collections. Surplus or substandard cloth must be destroyed to prevent unscrupulous organisations from using it to produce cheap imitations and passing them off as genuine articles.
  • Genuine uniforms used by emergency and security services must be destroyed to prevent them from being used for impersonation. This is a serious crime, as it can potentially put members of the public at risk and allow unauthorised persons to gain access to controlled areas.

While this may sound extravagantly wasteful, as an ISO 14001 certified company we ensure this process is environmentally friendly. Fibres extracted from the shredding process are recycled for use in products such as the filling in acoustic office screens, upholstery and so on, extending the material’s useful life and preventing increased landfill.

IT and other office equipment

Electronics are an integral part of the office environment but with the fast pace of technological development, hardware quickly becomes obsolete. Such equipment frequently contains material that can become an environmental hazard – lithium, mercury and other heavy metals are a few examples – and need to be safely disassembled. Some materials can be reused, reducing the need to extract more natural resources or produce raw materials fr new products.

The Waste Electrical and Electronic Equipment (WEEE) regulations were introduced to reduce the volume of redundant electrical and electronic equipment going to landfills and to maximise its potential for recyclability.
